The alternative method of setting visit reservations for your patients

One of our clients suggested, that the present mechanism of assigning his patients to particular terms of visits in the administration panel of his iGabinet system, could be enhanced with a new, alternative method of assignment, which would greatly speed up this process. We have just finished developing the new functionality, with a very positive result.

Before the changes were introduced, the mechanism of assigning the patients to particular terms of visits had been based on previously choosing the exact day and time of the visit from the calendar, and then choosing the target patient that we wished to assign to this particular term. This method was perfectly useful, however we received a hint from one of our clients (who uses iGabinet intensively), that in some cases, it would greatly optimize his workflow, if the assignment was possible to do right from the patients search results.

Naturally, our development department took a plunge into this task, and the positive effects came very quickly. From now, there are two ways of assigning visits reservations for your patients, to choose from. The old one, allows you to first choose an exact term from the calendar, and then to find a patient, you would like to assign to this term.

The new and alternative way is a form of reversing the process, by first choosing the patient you would like to make the reservation for, then choosing the term of visit in calendar, and finally to assign the patient to this particular visit. This is another example of how our clients are influencing the functionality of iGabinet.

Intelligent patient accounts removal

Based on another request from some of our clients, iGabinet has been enhanced with a special function to remove the patient’s account intelligently. The mechanism is intelligent, because it is now possible to completely restore the account, that was once removed.

This completely eliminates the situation, where the patient's account might be deleted accidentally, by distraction or absent-mindedness, which results in complete patient’s data loss.

From now on, each removed patient’s account can be restored to the state right before it was removed and, what is more important, all the information relevant to this account (reservations, visits, e-mails, sms messages, etc.) will also be accurately reverted.

Automatic Search Engine Optimization (SEO)

According to the suggestions from our clients, the iGabinet has been enhanced with an automatic search engine optimization mechanisms. The process of automatic optimisation is executed in cycles, each time you change the content presented on the websites of your system.

The optimisation process reports the web pages of your system to the group of popular search engines, which causes the instantaneous actualisation in their databases. Therefore the PageRank of your website increases, which greatly improves its position in the search engine results.

Detailed visit descriptions and personalization

At long last, we have finally finished one of the most anticipated module for iGabinet system, that allows for creating various visit descriptions by the use of custom attributes. The new solution makes it possible to freely compose and personalize the visit information for particular specialists.

For instance, let us assume the iGabinet is used to manage a medical center, where there are different specialists (i.e. ginecologists, dermatologists, dentists, ophthalmologist, etc.). Therefore, it is quite obvious, that having this various specialties and the character of their visits, it is necessary to store quite different information concearning these visits, which will be differ for a particular specialty.

The example distinctly shows another domain of vast flexibility of iGabinet. We are quite certain, you can come up with some more examples of other applications of this brand new solution. The visit attributes allow the specialists to store completely different information in their visit descriptions, concearning the procedures that have been made. Everything is traditionally made in a very fast and intuitive way.

Optimization in the user-interface of administration panel

Our development department is continuously developing more and more comfortable user-interface for iGabinet system. This time a brand new, tab-based navigation was added, that greatly improves the user experience and comfort, as well as it speeds up the administrative processes in the system.

The new structure allows to present huge amounts of information in one place (on particular pages), grouped into logical sets, that are semantically related. In many cases, a group of operations (i.e. visit description and management) have become streamlined to only one operation. All of this is meant to improve your comfort while using iGabinet and also to optimize the time necessary for administrative operations.

Automatic reminding about scheduled visits

The iGabinet system is quickly taking the duties and responsibilities of traditional receptionists that are usually hired in your clinic. Its newest functions allow you to automatically remind your patients (or clients) about their scheduled visits.

By using this feature, you no longer have to worry your patients that are scheduled for a visits in some far away terms, will simply forget about them. The iGabinet system will take care for your patients to keep them informed about the oncomming visit, in some previously set, respectively earlier term (i.e. a day before the visit date).

Such information can be sent as both, the traditional (at least for iGabinet users) e-mail message, and the SMS message right to the patient’s cellular phone. It is also possible to send both messages in two separate periods before the visit time, i.e. an e-mail for 2 days before the visit, and the SMS message for 3 hours before the visit.

Off-line patients database functions

The structure of user accounts in the iGabinet system has been adjusted, so that it is possible to store information about the off-line patients (or clients), who do not have an access to the Internet, or their own e-mail address, or they simply just do not use the Internet-related functions of the system.

The account in its off-line form acts as a traditional patients’ database, which is sometimes available in some tratidional, non-internet clinic management systems.

There is however, one major difference in the way iGabinet does it: if the situation changes and your off-line patient (or client) decides to use the full potential of your system by using its internet functions, you can then turn his account to its on-line form in a very simple way, that will not take you more than a few seconds.

Extended information for user accounts

Recently the iGabinet system has been extended with many functions for storing some additional information about your patients (or clients). Some of the changes were made to match the functionality of system’s new modules (i.e. cellular phone number for the new SMS sending module), and the other changes were made on your request, in order to improve the system in a general manner.

Because there were some incidents, where our clients’ systems were improperly used by some of the users (with doubtful motivations), we decided to strengthen the iGabinet with some functions that would make it easier to locate such users and consequently to increase the security level. Therefore, we made it possible to view the analysed information extracted from the server logs.

The information analysed this way allow you to view the time of the problematic connection, the location of the adversary, his IP address, his domain as well as the name of his internet service provider. All these information will make it a lot easier to track the adversary, if necessary.

New independent operational windows

This time our development department has designed a new, very comfortable way of making various operations in iGabinet system. From now on, all the important information will be presented in a neat operational windows.

The operational windows allow to view and edit the information independently from any place in the system. The information that will be hence presented in this way are (among others): patients’ data, along with the operations of adding and editing new patients, as well as operations related to editing, reassigning and cancelling the reservations.

New mechanism of automatic system notifications

Our staff from Programming Department keeps on developing some sofisticated functions of iGabinet system, that are meant to automate the often tiresome processes. This time we added the brand new automatic system notifications, that allow to instantly inform your patients (or clients) about the operations in the system that concern them and their visits.

Your patients (or clients) can be notified about the administrative operations on their visits, by using both e-mail and (on demand) SMS messages.

The iGabinet system informs the particular patient (or client) in details about various events, like when you (or a member of your staff) signs him for a visit, moves the visit to another date or hour, or eventually, when his visit is cancelled.

This type of communication is made automatically, so you do not have to worry about the patient (or client) gets notified on time, not to mention, you do not have to make any traditional phone calls for this purpose. The iGabinet system will make it for you.
